In addition to the steps you take to protect your personal accounts, here are a few precautions to protect your business:

  1. Limit administrative rights on your computer and network to prevent the inadvertent downloading and installation of malware or viruses

  2. Educate employees not to respond to or click links within suspicious e-mails

  3. Protect documents that contain account numbers or personal employee information

  4. Conduct thorough background checks on applicants during the hiring process

  5. Segregate duties to ensure that no single employee:

    1. Is responsible for both recording and processing a transaction
    2. Keeps the books and reconciles statements
    3. Opens the mail, prepares deposit slips and handles bookkeeping
    4. Limit to the number of people who can authorize purchases, and the dollar amount they can authorize
  1. Run random audits or have a third party audit your books once a year

  2. Make sure all checks, purchase orders and invoices are numbered consecutively, and regularly check for missing documents

  3. Personally follow up on customer complaints that they have not received credit for payments

  4. Use a "for-deposit-only" stamp on all incoming checks to prevent an employee from cashing them

  5. Sign all payroll checks personally, require all checks above a nominal amount to have two signatures, and never sign a blank check or use a signature stamp

  6. Small business owners should review accounts payable for cash disbursements and payments to "phantom" vendors

  7. Keep sensitive information out of view

  8. Consider performing all online banking activities from a stand-alone computer system which is dedicated solely to online banking and not used for e-mail and other web activity. Disable that computer's capability to browse sites other than www.tdbank.com
